By using the services and creating, transmitting, using or disclosing any and all PHI about or from third parties (audio or written form), you represent and warrant that you have obtained in advance all necessary permissions and consents under applicable law to share any third-party data with us. 

  1. Details of transactions you carry out through our Website and of the fulfillment of your orders. You may be required to provide financial information before placing an order through our Website, including payment instrument number, and the security code associated with your payment instrument.   2. Records and copies of your correspondence (including email addresses), if you contact us.
  3. Your responses to surveys that we might ask you to complete for research purposes.
  4. Social Media Login Data if you register with us using your existing social media account details, like your Facebook, Twitter, or other social media account. Medwriter.ai offers you the ability to register and log in using your third-party account details (like Google login). Where you choose to do this, we will receive certain profile information about you from your social media provider. The profile information we receive may vary depending on the social media provider concerned, but will often include your name, email address, and profile picture, as well as other information you choose to make public on such a platform. We do not control, and are not responsible for, other uses of your personal information by your third-party social media provider.   3. To fulfill the purpose for which you provide it. For example, if you give us your phone number to use the "phone transcription" feature of Medwriter, we will use your phone number to relay the information back to your account.

  2. To enforce or apply our terms of service and other agreements, including for billing and collection purposes.

Choices About How We Use and Disclose Your Information

We strive to provide you with choices regarding the personal information you provide to us. We have suggest the following mechanism(s) to provide you with the following control over your information: 

  1. Tracking Technologies and Advertising. You can set your browser to refuse all or some browser cookies, or to alert you when cookies are being sent. If you disable or refuse cookies, please note that some parts of this site may then be inaccessible or not function properly.

We do not control third parties' collection or use of your information to serve interest-based advertising. However these third parties may provide you with ways to choose not to have your information collected or used in this way. You can opt out of receiving targeted ads from members of the Network Advertising Initiative ("NAI") on the NAI's website.

Retention of Your Data

We maintain your personal data for as long as they are necessary to provide our services effectively, while also complying with any applicable legal retention requirements. User registration and settings data is retained until you either terminate your account or specifically request its deletion. Data you provide to the MedWriter application and data generated by the system in response to that data, including but not limited to transcription service output or AI note generated output that can contain PHI, can be manually deleted by users through our Service interface and is also programmed to be automatically erased routinely in accordance with our Service's predetermined settings. 

Due to the automated deletion process inherent in our Service, the Service is not intended to serve as a permanent repository for PHI. You are responsible for immediately and securely transferring and storing PHI in dedicated record-keeping systems, such as Electronic Medical Record (EMR) systems, to ensure long-term preservation and compliance with healthcare data management standards.  

Data Security

We have implemented measures designed to secure your personal information from accidental loss and from unauthorized access, use, alteration, and disclosure. All information you provide to us is stored until deleted. Any payment transactions will be encrypted using SSL technology in transit and at rest. 

The safety and security of your information also depends on you. Where we have given you (or where you have chosen) a password for access to certain parts of our Website, you are responsible for keeping this password confidential. We ask you not to share your password with anyone.

Unfortunately, the transmission of information via the internet is not completely secure. Although we do our best to protect your personal information, we cannot guarantee the security of your personal information transmitted to our Website. Security of PHI created, maintained, transmitted, used, or disclosed via the MedWriter platform is governed by applicable federal and state laws and the Business Associate Agreement you have entered into with MedWriter.

If we make material changes to how we treat our users' personal information, we will notify you by email to the primary email address specified in your account or through a notice on the Website home page.
